"Profile Photo & Photos Taken At Meet-ups"
It is strongly encouraged that you put a photo of yourself (head shot is best) on your profile so that the event host and other members know who to expect at meet-ups.
When you attend a meet-up, your photo may be taken and then uploaded to this site. Be aware that meet-up is a public forum and by becoming a member you accept that your image and name may appear here and possibly in other public medium such as Facebook. (last update 18/12/2010)
"No Shows and Late Cancellations"
If you RSVP to come to an event the assumption by the host is that you will actually turn up. If your plans change, change your RSVP as soon as possible so that anyone on the Waiting list can take advantage of your spot.
If you need to cancel on the day itself please also update your RSVP (if possible) and/or ph or sms the host so they know not to expect you. If you sms remember to include your name.
The organizers/hosts always list their mble numbers, so please enter them into your ph so you have them on hand to do the aforementioned or in case you cannot locate the group on the day.
For those members who continue to "no show" or regularly change RSVP at the last minute, the organizers have the option of putting you on the Waiting list for an event should one form, especially if it is very popular or if there are limited spots available. Removing someone from the group is also an option but obviously not our preference.
This group has been going strong since May 2010 and many lovely friendships have been made. The organizers simply ask everyone to be courteous towards us and each other and we will continue to have many enjoyable events together. (entered 07/2010)
"Waiting List"
For most events, a Waiting list will be available once all available spots are taken. The organizers prefer a "manual Waiting list" which means that when someone on the YES list cancels, those on the Waiting list are notified via email that there is a spot open and the first one to RSVP gets the spot (click on "Going" and move yourself from the Waiting list to the YES list). This does however give someone who is not on the Waiting list at all the opportunity to jump in also. This may seem unfair however when the organizers previously used the "automatic Waiting list" too many "no shows" resulted as people were not aware that they had been automatically moved up from the Waiting list to the YES list.
Please trust your organizers and rest assured we are doing our best to ensure the maximum number of people can attend each event. (entered 07/2010)
"Communication"
If you post a COMMENT relating to a particular meet-up event, it will be emailed to all members already on the YES list.
When you RSVP to an event the host will be sent a notification email (unless they have turned off this setting). You can write a small note when you RSVP if you wish to advise the host of something.
If you send a GREETING to a member via their profile, they will receive it via email but it will also be posted on their profile for all members to see.
Sending an EMAIL to a member via their profile is the most private way to communicate as only they receive it. You can keep your email address private but the recipient will be told your name and referred to your profile. They in turn can send you an email this way, also keeping their address private. Note that anyone harassing another member will be immediately banned from this group.
Starting a discussion on the MESSAGE BOARD results in all members receiving an advisory email. They can then choose to visit the MESSAGE BOARD for a look. Any replies posted will be emailed to the person starting the discussion. The Organizer regularly "cleans up" the MESSAGE BOARD.
To contact the Organizer, either send an email via their profile (option to hide your email address if you wish) or if you click on "Contact Us" you have the option of asking for a reply but your email address will then be listed. Only the Organizer receives these emails, not the Assistant Organizers.
You are able to manage emails sent to you by going into your ACCOUNT where you can edit information relating to PRIVACY as well as EDITING COMMUNICATION SETTINGS. (entered 06/03/2011)
"What Happens with the Admin Fees Collected"
To run this (and all) meet-up groups, administration fees must be paid monthly to Meet-up in the USA. Members are asked to contribute $1 at each event attended unless it is something special or out of the ordinary (like a road trip or special dinner event) to help pay these admin fees and any surplus will be donated to a worthy cause. Due to our desire to really benefit whatever cause we eventually choose, we will be asking all event hosts to collect the admin fee (unless the aforementioned applies). Fees can then be passed onto the Organizer via direct debit deposit.
Kiva has been chosen as our first "excess admin funds" recipient. Kiva is helping provide microfinance to individuals in struggling countries. Check out the site for more information - http://kiva.org/... As we had $150 available to spend, 2 groups and 1 individual were given loans of $50:
Rwemengo Development Association Group B, Kihihi in Uganda (tea and banana growers)
Kajubwe Tukore Group B in Uganda (tea and coffee growers)
Vanessa Meneses Isaza in Colombia (cake seller)
You can follow the progress of the loan repayments via the Kiva site. Once the loans are repaid the funds can be loaned again to others, making your $1 contribution to BCL assist many. (last update 18/05/2011)
"Become The Host Of An Event"
The organizers love hearing your Ideas about possible venues to visit and we try our hardest to accommodate. If you list an Idea you will be asked whether you wish to host the event yourself. The reason for this is that the organizers may not be available in the immediate future so if someone can host the event now, why not. Hosting is not difficult. All you do is:
Decide on the date and time you wish to hold the event.
Decide on the number of invitees you would like.
Contact the venue to make a booking under "Brisbane Coffee Lovers", also provide your name and mble.
Ask the venue if they have a "one bill per table" policy (let the group know if so).
Also ask if the venue has gluten free options and if they have access for wheelchairs.
Contact the Organizer to list the event for you (providing all relevant information about the venue including website if available and your mble number which will be listed).
On the day of the event turn up at least 10 minutes early to greet your guests (even earlier if the venue does not take bookings).
Enjoy yourself.
Rate, upload any photos and provide feedback once the event is over.
Your assistance in collecting the $1 admin fee from members, is greatly appreciated. You will be given account details for direct debit deposit following the event. So contact the Organizer if you would like to give it a go. We appreciate any help in listing more events for members to enjoy. (last update 22/01/2011).
